Configuring Mission Trip Messages ================================== Mission Trip registrations use several specialized messages and emails that you need to configure. These are found under `Registration > Messages` in the Involvement. .. seealso:: | :doc:`MissionTripOverview` | :doc:`MissionTripInvolvementSetup` Confirmation Email ------------------ Navigate to `Registration > Messages > Confirmation Email`. This is the email sent to the Goer after they register. It should include: - A ``{paylink}`` replacement code so the Goer can make subsequent payments - Instructions on how to log in to their profile to see their balance, email supporters, and make payments - If Funding Pages are enabled, mention that they can access their Funding Page from the `Involvement > Registrations` tab of their people record Select the appropriate user(s) as the **Email From** to receive notifications when someone registers and when subsequent payments are made by the Goer. Instructions ------------ Navigate to `Registration > Messages > Instructions`. Enter any instructions that might be helpful for those registering. .. admonition:: Example Using the Options Instructions, you may want to let the person know the amount of the deposit and that they will need their bank or credit card information to make the payment online. .. seealso:: :doc:`/OnlineRegistration/MessagesSettings` Support Email ------------- Navigate to `Registration > Messages > Mission Trip`. This is the Support Email that the Goer sends to people they are asking for support. Configure it carefully: #. Enter a **Subject** in the Support Subject field. #. Click `Edit` for the Support Body to configure the Support Email. Use the email replacement code {salutation} at the start of the email. Do not use "Dear {first}" as you would in a normal confirmation. #. Click `Source` in the toolbar for the editor and add this text just under the {salutation} replacement code: ``
``. Click `Source` again to return to normal view. .. note:: This bit of code is necessary for Goers to be able to edit the body of the email before sending it to their supporters. Place it below the ``{salutation}`` so they will not edit the salutation. #. Clearly indicate the name of the church and church website address. #. Include an {unsubscribe} link somewhere in the email. #. You can use the {track} replacement code, but do **NOT** use {tracklinks} as that does not work when the SupportLink is in the body of the email. An image is required in the email for the {track} to provide the open rate data. #. Include text such as "please click this link to make a donation online," highlight that text, then click the gold link icon (or the `Special Links` button above the editor toolbar) and select `Support Link` from the drop down menu for the Type and enter the Involvement ID. .. caution:: The Support Email is sent to potential supporters. Normal email replacement codes such as {amount} or {amtdue} will **NOT** work in this email. Those codes are designed for the registrant. You can type the actual amount of the trip in the Support Email, but do not use those replacement codes. .. note:: The ``Support Link`` takes the supporter to a page where they will click Send Link. This sends another link that takes them to the donation page. If the supporter is not found in the database, they will create a people record during the transaction. If **Enable Public Funding Pages** is turned on, the Support Link will redirect to the Goer's public Funding Page instead. Sender Confirmation ------------------- Navigate to `Registration > Messages > Sender Confirmation`. This is the email that a Supporter receives when they make an online donation. Include: - The replacement code ``{paid}`` to show the amount of the donation - A thank-you message The email will come from the top user selected as the Notify Person(s) for Gift. Notify Person(s) for Gift -------------------------- Navigate to `Registration > Messages > Notify Persons/s for Gift`. Select the user(s) who should receive a notification when Supporters make an online donation. You will probably want this to come from someone in your finance office, so put that person's name at the top. You can have others receive the notification as well, such as an Admin Assistant in the missions ministry. The email that supporters receive after donating will come from the first person listed here. .. note:: Notify Person for Gift will only be notified for Supporter donations, not Goer payments. If the person also needs to be notified for Goer payments, add them as an Email From person also. Mission Trip Support Notice Template ------------------------------------- When a cash or check donation is recorded manually by staff for a Goer, the Goer receives a notification email using a system email template called **Mission Trip Support Notice**. A system admin can edit this template by navigating to `Admin > Communication > Email Templates`. This template supports the following replacement codes: - ``{org}`` or ``{inv}`` — The Involvement name - ``{sender}`` — The name of the person who donated - ``{amt}`` — The donation amount .. _SampleMissionTripConfirmation: Sample Confirmation Email ------------------------- Below is a sample confirmation email you can customize for your mission trip. Notice the email replacement codes in curly braces ``{ }``. Hi {first}, Thank you for registering online for {inv}. You have paid {paid}. {paylink} Any payments you make toward this trip are tax deductible and will appear on your giving statement. At the bottom of this email are the details of your registration. Please verify your answers and let us know if anything needs to be corrected. You can keep this email so you can use the above paylink to make subsequent payments toward your balance. However, you can also log onto your TouchPoint account, go to Involvement > Registrations and click the Make Payment button, which works just like the paylink. Because you registered for a mission trip, there are several features available to you: **TouchPoint User Account:** - A user account will be created automatically for you and you will receive a separate email with your credentials. - If you already have a user account, you will receive an email reminding you of your username. - If you have forgotten your password, you will be able to reset it. **Balance Tracking:** - When you log on to TouchPoint go to your profile and click Involvement > Registrations. - There will be a tracking section showing the cost of the trip, how much has been paid (both by you and by your supporters), and the balance. - You can return to check your balance at any point and to Make Payment toward your balance. - All online donations are posted immediately. **Email Supporters:** - Log on and go to Involvement > Current > Registrations on your record and click Email Supporters. - Enter either an email address or a 10-digit phone number to find people in the TouchPoint database. - If a person is not in the database, you can still add them to your list by entering their email address. - Click the Edit button to edit the salutation for an individual, or to remove someone from the list. - Edit the body of the email so that you include your name at the bottom. - Be sure to leave the {salutation} at the beginning of the email and the link that gives supporters a way to donate. - Send a test to yourself and then send the email. NOTE: If you send the test email, you will not see a salutation with your name. The actual supporter will see something like Dear John. **Your Supporters:** - Those receiving your email will have a link to donate online toward your trip. - They will receive a confirmation email thanking them for their donation. - You will receive an email notice with the donor's name and the amount donated, unless they check the box not to send a notification. - All donations are applied to your balance and they are recorded on the donor's giving record, as the donation is tax deductible.
