Reviewing and Importing Connect Cards ===================================== Every captured card is reviewed by a person before it changes anything in TouchPoint. On the `Card Review` tab you compare the card with the values TouchPoint read from it, correct anything that was misread, decide whether the card is a new person or someone already in TouchPoint, and import it. To start, open the `Capture Queue` and click the name of a card that **Needs Review**. The card opens on the `Card Review` tab. The Review Screen ----------------- The top of the screen shows the name read from the card, whether it came from an image or a PDF, and the involvement and meeting it was captured for. Use `Prev card` and `Next card` to move through the queue. .. figure:: images/ReviewCardImage.png :target: # The card image on the Card Review tab The card image is shown beside the values read from it (above them on a narrower screen). Use the controls beneath the image to zoom in and out, fit the image to the panel, or rotate it. .. figure:: images/ReviewFields.png :target: # The values read from the card, ready to be checked and corrected The fields shown are the ones on the card's :doc:`template `. Check each value against the card and correct anything that was misread: * Phone numbers are formatted automatically, and `State` takes a two-letter abbreviation. If the whole address was read into the `Address` field, move the city, state, and zip to their own fields. * `Date of Birth` uses the format MM/DD/YYYY. * `Gender` accepts Male or Female, and `Marital Status` accepts Single, Married, Separated, Divorced, or Widowed. * Each extra value appears with the right kind of input — a checkbox, a date, or a text box. * A `Prayer request` written on the card appears in its own box. Names written in all capital or all lowercase letters are capitalized normally when the card is read. **Values marked "verify"** When TouchPoint was unsure of something it read — handwriting that was hard to make out, for example — the field is marked with a **verify** tag and a short explanation. Correct the value, or click `Looks right` if it is already correct. A count of flagged fields that have not been checked is shown at the bottom of the card. **Required values** Before a card can be imported: * It must have a `First Name` and a `Last Name`. * A card that creates a new person must have an email address or a phone number, when the template collects them. * An email address must be valid, such as name@example.com, and a date must be a real date. .. caution:: Your corrections are not saved until the card is imported. They are kept while you move between cards with `Prev card` and `Next card`, but if you leave the Connect Card page, or another reviewer opens the card, the corrections are lost and the card shows the values that were originally read. People Already in TouchPoint ---------------------------- When a card is opened, TouchPoint checks for people who may already be in your database, using the name, email, phone, and date of birth from the card. A `Checking for existing people...` message appears while the check runs. If the check cannot be completed, click `Retry` before importing. If possible matches are found, they are listed before the card's fields: .. figure:: images/ReviewMatches.png :target: # A possible existing person found for a card Each possible match shows the person's name, email, phone, date of birth, and family address (and personal address, if it is different), along with the values the card matched on. Click a name to open that person's record in a new browser tab. You must choose one of the options before the card can be imported: * Select the person to **update** that person's record with the values from the card, or * Select `Create new person instead` if the card is for someone who is not yet in TouchPoint. After choosing, click `Change import option` if you need to choose differently. Correcting the name, email, phone, or date of birth runs the check again. Importing a Card ---------------- The buttons at the bottom of the card depend on the import option: .. figure:: images/ReviewUpdateNote.png :target: # Importing a card as an update to an existing person * `Create person` adds a new person to TouchPoint from the card. * `Update person` updates the person you selected. The note beneath the buttons confirms whose record will be updated, and that no new-person follow-up or emails are sent. * `Skip` moves on to the next card that needs review, leaving this card in the queue for later or for someone else. * `Reject` marks the card as rejected after you confirm. No person is created or updated, and the card stays in the queue's history with a status of **Rejected**. A rejected card can be opened again and imported later. Creating or updating a person requires the **Edit** or **Admin** role. Users without one of these roles can still skip and reject cards. **Checking the address** When the card has an address, TouchPoint checks it with the postal service before importing: * If the postal service suggests a correction, the `Check this address` dialog shows the address `As entered` and the `Corrected` address. Click `Use as entered` or `Use corrected`. * If the address could not be verified, you can save it as entered, or cancel and correct it. * If the only change would be adding the extra four digits to the zip code, the corrected address is used without asking. After the card is imported, a message confirms that the person was added or updated, and the next card that needs review opens. When no cards remain, you are returned to the Capture Queue. What Happens When a Card Is Imported ------------------------------------ **For a new person** * The person is created as the Primary Adult of a new family, with the card's address saved as the family address. * The person's Origin is set to **Connect Card**. If the card was captured for an involvement, the person's Entry Point is set to that involvement's Entry Point. See :doc:`../EntryPointOrigin`. * The person is set to receive text messages. * TouchPoint's usual new-person follow-up runs, such as the :doc:`New Person Data Entry task <../NewPersonDataEntryTasks>` and the email to your :doc:`New People Managers <../NewPeopleManager>`. **For an existing person** * Values from the card replace the person's existing values. Fields that were left blank on the card never erase information already in TouchPoint. * An address on the card is saved as the family address. The person's Origin and Entry Point are not changed. * No new-person follow-up or emails are sent. **For both** * Extra values from the card are saved on the person's record. * If the card was captured for an involvement, the person is added to it as a Visitor, unless they are already a member. If a meeting was chosen, the person is marked present at that meeting. * A prayer request is saved to the person's Tasks & Notes as a prayer request. * The card image or PDF page is attached to the person's record as a document named *Connect Card Scanned*. An imported card moves to **Imported** in the Capture Queue and opens read-only with the message *This card has already been imported*. It cannot be imported a second time. | | +--------------------+------------------+ | **Latest Update** | **10/07/2026** | +--------------------+------------------+ Created article for the new Connect Card feature.
