Process Builder Actions

When creating new Processes through the Process Builder, you will add an Action to Take for each Step in the Process. Each Action has a set of accompanying details. These details are crucial to make sure your Process works correctly.

Below are the Actions and the details you will need to supply for each:

Abandon Current Process

No additional details are required for this action. The action will end the process for the person at the current step. This action is useful if a note added, search met, or other condition on the step should automatically remove the person from the process.

Add Note

Just as creating a Note on the Tasks & Notes page, you can enter the Note Details, Keywords, Owner, and Limit to Role. Additional option is Number of Days. Enter a 0 if you want the Event Date of the note to reflect the day the person was added to the process. Enter a 1 to apply the next day’s Date to the Note.

Add Role

Using the dropdown, enter the Role that will be added to the person when they reach this step in the Process. You can enter multiple Roles, so this is a useful option when onboarding new Staff.

Add Task

Just as creating a Task on the Tasks & Notes page, you can enter the Task Details, Keywords, Owner, Assignee and Limit to Role. Additional option is Number of Days until the Task is Due. Enter a 0 if the Task is due the same day the task is assigned. Enter a 1 if the task will be due the next day.

Add To Involvement

Using the dropdown, type the name of the Involvement the person will be added to during this Step. If you want them added to multiple Involvements, each will require it’s own Step. The person will be added immediately.

Complete Process

No additional details are required for this action. The action will end the process. This action should be used at your final step. Once the action is complete, the process will show successfully completed on both the Process Management View and the Personal Profile View along with the completion date.

Move to Process

Choose another Process from the drop-down menu. The action will move the person to the new process and mark them as Complete in the current process when the When to Complete criteria is met for the step.

Remove From Involvement

Using the dropdown, choose the Involvement the person will be removed from during this Step. If you want them removed from multiple Involvements, each will require it’s own Step.

Remove Role

Using the dropdown, choose the Role(s) that will be removed from the person when they reach this step in the Process. You can enter multiple Roles, so this is a useful option when downgrading Staff permissions.

Note

If downgrading someone to the MyData role, you only need to use Add Role and choose MyData. It will remove all other roles.

Send Email

Choose the Email Template and the Send From person (must have at least Access role). Enter the Number of Days after the person reaches this Step to actually Send the email and the Time that the email will be sent.

Send SMS

Choose the SMS Group to send the text from, the Number of Days after the person reaches this Step to actually Send the text and the Time that the text will be sent.
