Volunteer Scheduler

Note

This release is a broad pass over the Volunteer Scheduler, correcting a number of issues with recurring and perpetual volunteers, substitute requests, and the volunteer sign-up page. It also includes new feature requests and fixes across the application.

  • Fix The RSVP Confirm and Regrets buttons in Scheduler shift and team emails now record the volunteer’s response against the correct shift; previously the link could point at an unrelated meeting, enrolling the volunteer in an involvement they never signed up for and recording their attendance there

  • Fix Volunteers removed with “Remove From All” no longer reappear on newly generated future dates, while removing someone from a single meeting still leaves their other recurring dates in place

  • Fix Volunteers on a perpetual recurring option are no longer marked as Attended when the nightly process creates their upcoming meetings; they now carry only their commitment (Attending or Uncommitted) until someone actually marks them present

  • Fix Volunteers on a perpetual recurring option are no longer added to the same meeting repeatedly, which had been creating duplicate entries and false red “C” conflict markers, including after a time slot’s time was changed

  • Fix Adding people to a team on a recurring or perpetual option (“Every Week”, “All Week 4s Perpetually”, and similar) no longer fails with a network or server error, whether adding an individual or adding by sub-group, including when a time slot’s day or time was changed after setup or an upcoming date is missing from the schedule

  • Fix The Scheduler calendar no longer fails to load when it needs to create an upcoming meeting for a recurring volunteer who is set to Already Committed

  • Fix A volunteer’s commitment check mark now turns green as soon as a substitute accepts a sub request or an administrator confirms attendance, instead of staying orange as though the request were still unresolved

  • Fix Sub-groups deleted from a Scheduler team no longer appear on the volunteer sign-up page for volunteers who belong to that sub-group’s member tag

  • Fix Volunteer sign-up pages for involvements set to “Only use ad hoc” now load correctly instead of showing “A Calendar has not been set up for this involvement”, and a blank Rolling Number of Weeks is no longer saved as 0

  • Fix Commitment reminder emails now show a Status of “Attending” or “Uncommitted” for every upcoming date, instead of leaving the Status column blank for weeks that have not been generated yet

  • Fix Opening a volunteer’s Registration view from the Scheduler tab now loads their upcoming commitments instead of spinning and then failing with an error

  • Fix The confirmation messages volunteers see after responding to a substitute request are now shown at a readable font size

  • Fix The Scheduler is much easier to read on a phone, instead of appearing cramped compared to the desktop view

Check-In and Attendance

  • New Both primary adults in a household are now recognized as parents at check-in even when they are not married to each other — they appear in the Parents section of the child’s detail page and in the Check Out list, can be texted from the Message dialog, receive the automatic text when a child is moved to another classroom, and print on check-in labels

  • New A custody issue indicator now appears on the Classroom Dashboard attendance cards and child detail screen, so classroom leaders can see the flag without relying on a printed check-in label

  • Fix A child’s class no longer appears twice in the check-in list when the child has a Parent extra value pointing to an adult who already lives in the same household

Involvements

  • New The Add New Involvement popup now includes a Division dropdown, so you can choose which program and division the new involvement belongs to instead of having it inherit the division of whatever involvement you were viewing

  • Fix Customizing the Previous and Pending tabs in the Involvement Tab Editor now works as expected, instead of causing an error and a blank tab on people’s profiles; involvement types a person has no records in no longer show an empty heading row

  • Fix With “Use Meeting End Times” enabled, changing an existing meeting’s start time now shifts the end time by the same amount so the meeting keeps its length, and a meeting can no longer be saved with an end time earlier than its start time

People and Profiles

  • Fix Names containing an apostrophe typed on an iPhone or iPad are now stored and matched the same way as names typed on a computer, so People Search finds them and anonymous registrations and online gifts no longer create duplicate person records; a one-time cleanup also converts curly apostrophes already stored in existing names

  • Fix A leader’s new name now appears immediately in the Leader column on the Involvement Search page and on a person’s Involvements tab, instead of taking up to a day to catch up

  • Fix Choosing a birthday with the calendar picker no longer fills in a time along with the date, so new people and profile edits save correctly when Required Birth Year is turned on

  • Fix Completing a single task from the three-dot menu on a person’s Touchpoints tab now finishes immediately, instead of taking up to two minutes on databases with heavy Process Builder use

  • Fix A leader restricted by OrgLeaderOnly can now open the profile of a person they have been assigned an active task about, instead of hitting an access-denied message

Registrations and Forms

  • Fix A registration form put into kiosk mode by adding “?kiosk” to its web address now stays in kiosk mode after someone completes a registration, instead of reverting to a normal page with sign-in options and site navigation showing

  • Fix Meetings on a registration form no longer show as “(Full)” while they still have open seats — the seats-taken count now includes only people who actually registered as Attending, not the Uncommitted placeholder records created for existing involvement members

  • Fix The balance due on a Mission Trip goer’s transactions screen now includes supporter and sender payments, so it matches the balance shown in the member dialog and on the payment link

  • Fix Corrected the spelling of “receive” in the help tooltip for the Finish Page Message field

Process Builder

  • Fix A process whose final step removes the person from an involvement now completes as expected, instead of leaving the person stuck in the process’s active list

  • Fix An Add Note action with Number of Days set to 0 — or left blank — now dates the note with the day the person reached that step, instead of creating a note with no Event Date

Giving

  • New Churches using Engiven can now (optionally) offer stock and securities giving alongside cryptocurrency

  • Fix Givers who switch between card and bank account while editing a saved payment method no longer hit a dead-end “Unknown API Error”, and now receive a clear message telling them to delete the existing payment method and add a new one

  • Fix Splitting a contribution inside a large batch no longer freezes the screen — batch entries are now shown 100 at a time with page navigation beneath the grid, and splits save normally

Background Checks

  • New Background check requests that error out, or that go 14 days without completing, can now be deleted or resubmitted from the person’s Volunteering tab for both MinistrySafe and Protect My Ministry; note that neither vendor supports canceling a check already in progress, so a result that comes back after deletion is simply discarded

Administration and Security

  • New Users can now create, view, and revoke their own Personal Access Tokens (PATs) for API authentication directly from their profile menu, without needing a developer to generate one for them (see Personal Access Tokens)

  • Fix Role restrictions on custom person and family fields (extra values) are now enforced consistently in Search Builder, the API, and AI assistant queries, so a user without the required role can no longer return results based on a restricted field

  • Fix Administrators can now reach the bulk address update tool (Admin → Tools → Update → Addresses, or Admin → Batch Actions) without needing a developer-level role; users without the Admin role still have no access

  • Fix Deleting an email template that is still in use now shows a clear message explaining that an involvement, Process Builder action, notification event, or dashboard still references it, instead of leaving the confirmation popup stuck with no response

  • Fix Drag-and-drop reordering works again on Custom Access Roles → Setting Role Priorities and on the Homepage Widgets page, where rows had stopped responding even though the move cursor still appeared

  • Fix The profile link in “Just Added Person” notification emails now always uses your church’s configured Default Host address, instead of sometimes falling back to the generic address the browser happened to be using

Mobile App

  • Fix The Events list now shows an involvement’s actual First Meeting Date, instead of advertising the next occurrence of the scheduled day of the week — which could show a meeting weeks before the group had started

  • Change The Photo help text on an involvement’s Registration → Mobile/Sites tab now recommends at least 960 x 450 pixels and under 1 MB, so involvement banners look sharp in the app instead of blurry

  • Change The Channel Logo help text on the same tab now recommends 240 x 240 pixels (200 x 200 minimum) and under 50 KB

General

  • Fix Date pickers no longer show a duplicate day during the fall daylight saving time change, so calendars display each date once and date-range filters return the complete final day of the range
