Extra Values - Family

Mailing Address

This special type of Standard Family Extra Value is designed to give you a way to retain the physical home address for a family and also have a different address to use for mailing purposes.

Use Cases

Some of your congregation may live in an area that always use a PO Box for the mailing address, even though the family has a physical address as well. In these cases, you would want to retain the physical address as the Primary Family Address and use the MailingAddress extra value for the mailing address for the family.

Often, people living in nursing homes or assisted living facilities do not need mail going to their physical address, but, instead want it sent to someone else in their family. This extra value is perfect for them! Keep the physical address on their people record as the Primary Family Address, so that they can receive visits from the church. Enter the address of their son or daughter (or other caregiver) as the extra value MailingAddress.

Where Is the MailingAddress Used

If a family has a Standard Extra Value named MailingAddress, and if there is data in that field that is in the correct format, the following outputs will use that address:

Address Labels
Address (pdf)
Avery Addr (Word)
Continuous Roll Labels
Export Excel

Mailing / Bulk (csv)

Contribution Statements
From the individual’s giving record
Statements (all)

Note

See CoupleName below. It is used in the same places as the MailingAddress.

Important

If there is data in the Standard Family Extra Value name MailingAddress, this will override a Personal Address.

Create a MailingAddress Standard Family Extra Value

Step 1

Go to the people record for anyone in the family and select Profile > FamilyExtraValues.

Step 2

Click the + icon beside Standard Extra Values.

Step 3

Select Text (Multi line) as the Type. Enter MailingAddress as the Name. Click the blue Save button. Close the dialog box.

Step 4

Click the pencil icon beside the extra value and enter the address. Click the blue check mark to save.

Important

The address must be entered in the following format:
line 1 (street)
line 2 (optional)
city, state zip

Note the comma between the city and state. This is required.

Couple Name

If you have couples in your church who prefer that their name be displayed differently than the normal Mr. and Mrs. or John and Mary, you can add a Standard Family Extra Value named CoupleName.

Create a CoupleName Standard Family Extra Value

Step 1

Follow Steps 1 & 2 above.

Step 2

Select Text (Single line) as the Type. Enter CoupleName as the Name. Click the blue Save button. Close the dialog box.

Step 3

Click the pencil icon beside the extra value and enter the name as you want it to appear on a mailing label. For example: Dr. and Dr. Jones

Click the blue check mark to save.

Note

CoupleName is used in the same places as the MailingAddress when you select one of the Couples options. This name will also be used when printing Contribution Statements.

Family Name

If you have families in your church who prefer that their name be displayed differently in the Family Picture Directory than the normal The John Smith Family, you can add a Standard Family Extra Value named FamilyName. That name will then be used as the header for that family in the Family Picture Directory.

Create a FamilyName Standard Family Extra Value

Step 1

Follow Steps 1 & 2 above (MailingAddress).

Step 2

Select Text (Single line) as the Type. Enter FamilyName as the Name. Click the blue Save button. Close the dialog box.

Step 3

Click the pencil icon beside the extra value and enter the name as you want it to appear on in the Family Picture Directory. For example: Mark Jones and Mary Williams Family

Click the blue check mark to save.

Important

FamilyName is used only in the Family Picture Directory.

Adding the Same Family Extra Value to Multiple Families

In most cases, as those above, you have a specific Family Extra Value for each family. You create those by going to the record of one family member Profile > Family Extra Values and click the button to add one.

However, for some very specific use cases, you can use the blue Toolbar > Gear > Extra Values > Add Extra Values from either Search Builder results, an Organization, or a Tag and add the same extra value to every member of each family represented all at one time. You must check the box Add to Family Record Instead of Person for the extra value to be added to the family instead of the person. Regardless of who is in your search results, organization, or tag, that Family Extra Value will be added to every member of the family.

Obviously, for the examples above, you would need to go directly to that family to add the Family Extra Value.

Use Case for Creating Family Extra Values from a Search Result

Our church had an online registration for a huge multi-class event that had various options for paying and for which they were to receive one packet per family. We tracked payment in sub-groups during the registration, and also used sub-groups to track when they picked up their one-per-family packet.

Then we needed to know how many families still needed to pick up packets - families, not individuals. We used Search Builder to find those that were in the sub-group indicating they had paid, and added the Family Extra Value to those families right from the Toolbar. We did the same thing regarding the packet. Then, but searching using the new Family Extra Values, we could find how many families had paid, but not picked up their packets. By adding Is Head Of Household to the search we knew how many family units still needed packets.
