Extra Values - Family

Role Requirements

Users must have the Access role to view Family Extra Values. Users must have the Edit role to create or modify Family Extra Values.

Mailing Address

This Standard Family Extra Value lets you keep a family’s physical home address while using a separate address for mailing purposes.

Use Cases

Families in areas that use PO Boxes can retain the physical address as the Primary Family Address and use MailingAddress for the PO Box.

For members in nursing homes or assisted living, keep the physical address for visits and set MailingAddress to a caregiver’s address.

Where Is the MailingAddress Used

If a family has a MailingAddress extra value with correctly formatted data, the following outputs will use that address:

Address Labels
Address (pdf)
Avery Addr (Word)
Continuous Roll Labels
Export Excel

Mailing / Bulk (csv)

Contribution Statements
From the individual’s giving record
Statements (all)

Note

See Couple Name below. It is used in the same places as the MailingAddress.

Important

If there is data in the Standard Family Extra Value named MailingAddress, this will override a Personal Address.

Create a MailingAddress Standard Family Extra Value

Step 1

Go to the people record for anyone in the family and select Profile > Family Extra Values tab.

Step 2

Click the green + Add Extra Value button.

Step 3

Select Text (Multi line) as the Type. Enter MailingAddress as the Name. Click the blue Save button. Close the dialog box.

Step 4

Click the pencil icon beside the extra value and enter the address. Click the blue check mark to save.

Important

The address must be entered in the following format:
line 1 (street)
line 2 (optional)
city, state zip

Note the comma between the city and state. This is required.

Couple Name

To display a couple’s name differently than the default Mr. and Mrs. or John and Mary format, add a Standard Family Extra Value named CoupleName.

Create a CoupleName Standard Family Extra Value

Step 1

Follow Steps 1 & 2 above.

Step 2

Select Text (Single line) as the Type. Enter CoupleName as the Name. Click the blue Save button. Close the dialog box.

Step 3

Click the pencil icon beside the extra value and enter the name as you want it to appear on a mailing label. For example: Dr. and Dr. Jones

Click the blue check mark to save.

Note

CoupleName is used in the same places as the MailingAddress when you select one of the Couples options. This name will also be used when printing Contribution Statements.

Family Name

To display a family’s name differently in the Family Picture Directory than the default The John Smith Family format, add a Standard Family Extra Value named FamilyName. This name will be used as the header for that family in the directory.

Create a FamilyName Standard Family Extra Value

Step 1

Follow Steps 1 & 2 above (MailingAddress).

Step 2

Select Text (Single line) as the Type. Enter FamilyName as the Name. Click the blue Save button. Close the dialog box.

Step 3

Click the pencil icon beside the extra value and enter the name as you want it to appear in the Family Picture Directory. For example: Mark Jones and Mary Williams Family

Click the blue check mark to save.

Important

FamilyName is used only in the Family Picture Directory.

Adding the Same Family Extra Value to Multiple Families

Typically, you create a Family Extra Value on an individual family via Profile > Family Extra Values.

To add the same Family Extra Value to multiple families at once, use Toolbar > Gear > Extra Values > Add Extra Values from Search Builder results, an Involvement, or a Tag. You must check the box Add To Family Record Instead Of Person for the extra value to be added to the family instead of the person. This will add the Family Extra Value to every family represented in your results, regardless of which individual members are listed.

Use Case - Tracking Families from Search Results

A multi-class event uses sub-groups to track payment and packet pickup. Staff use Search Builder to find members in the “paid” sub-group, then add a Family Extra Value from the Toolbar to mark those families. A separate Family Extra Value tracks packet pickup. Searching on these Family Extra Values with Is Head Of Household reveals how many family units still need packets.

Displaying Extra Values on Inreach / Outreach Report

Specific extra values (people or family) can display on the Inreach / Outreach Report in a dedicated section.
