Rooms & Reservations - Creating Meetings

This article walks through viewing meetings if your church is using the Rooms & Reservations Calendar.

Create Meeting or Meeting Series

Note

Items marked with an asterisk * are only available with the full Rooms and Reservations offering.

There are three places where a new meeting or meeting series (recurring meetings) can be created:

1. Involvement Meeting tab

In an Involvement, proceed to the Meeting tab.

Click the green Add Meeting button

You will then add:

  • Meeting Name: The name of the meeting or meeting series.

  • Calendar Feed: The preferred calendar feed.

  • Attend Credit: Select between Every Meeting, Once Per Week Group 1 and Once Per Week Group 2.

  • Capacity: If there is a meeting capacity, enter that here.

  • Start Date & Time: The start date/time of the meeting.

  • End Date & Time: The end date/time of the meeting. The default is one hour after the start date & time.

  • Make Recurring: Recurrence options to create recurring meetings/series. Make selections and then click Set. The series will also appear on the Attendance tab. Recurrence Options are:

    • Repeat every X Days/Weeks/Months/Years

    • Repeat on: Choose the days(s) of the week for recurrences

    • Ends: Never, on a certain calendar date, or after a certain number of occurrences

    The below options are available through the full Rooms & Reservations offering:

    • Location*: Select the location(s) for this meeting or meeting series.

    • Ad hoc*: This refers to non-standard locations, such as off-site.

    • Setup*: Select the preferred setup for the meeting. This is based on the setups that are available in that location.

    • Set up (minutes)*: Enter the number of minutes before the meeting start date & time that the location should be reserved.

    • Tear down (minutes)*: Enter the number of minutes after the meeting end date & time that the location should be reserved.

    • Add assets*: Add preferred assets here if necessary.

    • Add services*: Add preferred services here if necessary.

    • Add notes*: Add meeting notes here if necessary.

    • Remove location*: Click this if you no longer need that location.

    • Add location*: Click this if you need to enter another location.

When finished creating the meeting, click Save at the bottom of the pop up window.

2. Involvement Attendance tab

Along with creating a recurring meeting in the meeting tab, you can create a recurring meeting, also known as a meeting series, in the Involvement’s Settings > Attendance tab for a Join Involvement or under Settings > Schedule for a Registration Form.

  1. Click the Edit button in the Meeting Series section.

  1. Click the Add Meeting Series button.

  1. Add meeting information, then click Set Recurrence to add the required Recurrence Options. Click the Set button to save the Recurrence Options, then click Save button.

3. Calendar Page

On the top menu bar, choose Calendar > Calendar, select the Calendar from the dropdown, and then click the green Add Meeting button.

Edit Meeting or Meeting Series

Meetings and series can be edited. However once the edits are saved, only future meetings will be updated. Past meetings will remain as originally set.

Note

When a meeting series is edited, meetings set in the future will be deleted and recreated to reflect the updated settings. This means that if meeting ids have been added to special links or reply words, those will need to be updated to reflect the new meeting id.

By default, clicking on the meeting will open the edit options for that meeting only. Click on Edit Series to update the entire series of meetings.

Delete Meeting or Meeting Series

Past, present and future meetings can be deleted individually.

If a meeting series is deleted and that series includes past meetings, only the future meetings will be deleted. If past meetings need to be deleted as well, those will need to be deleted individually.
